Bilbee is software, not a bank. Nothing of yours passes through us: not your income, not your tax, not your books when you decide to leave. This page says exactly what that means.
Your money
We never hold your money
Some services ask you to have every client pay into an account they control, take a percentage, work out your tax by algorithm and pay it before you see the rest. That model suits some people. It isn't ours.
With Bilbee, clients pay you. By transfer to the bank account on your invoice, or by card through your own Stripe account. There's no Bilbee account to open, no cut of your income, no one deciding how much of your money you can have this week. The set-aside figure on every payment is an estimate shown to you. Moving it is your call, into your own savings account.
No percentage. Plans are a flat $0, $15 or $29 a month. What you earn has nothing to do with what you pay us.
Your Stripe, your fees. Card payments settle in your Stripe at your Stripe pricing. We take nothing on top.
Your accountant, not ours. Invite whoever you already trust (or nobody, and use the EOFY pack yourself).

Everything you've put into Bilbee is yours to take out, any time, without asking. And if you decide Bilbee isn't for you, deleting your account is something you do yourself, not something you request.
If you lapse on a paid plan one day, you'll still be able to read and export everything. Read-only, never locked out.
Export gives you the lot: invoices, quotes, credit notes, clients, expenses with receipts, bank transactions and matches, time entries, every BAS worksheet, the estimate and its income sources, the asset register, your settings. The EOFY pack is the accountant-shaped version of the same thing.
Delete removes your account and your data. You'll type the word to confirm, because it's permanent. Backups are rotated out within about 90 days.
Security
Your books sit behind a lock keyed to you
Every row of your data in Bilbee's database carries your identity, and the database itself refuses to hand any of it to a request that isn't yours. That's enforced by the database, not just by the app, so a bug in a feature can't reach into another person's books. We check it with an automated test that tries to read across accounts and fails if it ever succeeds, and we run it after every change to how accounts are kept apart.

Sign out everywhere else, in one click, if a device goes missing.
Secrets kept separate. Your Stripe key lives encrypted in its own table that the app never sends to a browser.
Accountants
Free, read-only, revocable
Invite your accountant by email. They sign in with their own login and see your books the way you'd want them to: the P&L, each BAS worksheet, the estimate with its working, the EOFY pack, receipts. They can't change anything. You can see when they last looked, and one click ends it. One accountant can serve as many Bilbee clients as invite them, and never sees anything that isn't theirs to see.
Accountants don't pay, on any plan, ever.

Where and who
Made in Australia
Bilbee is built in Australia, for Australian sole traders. It runs on Australian tax rules, uses the ATO's own words, and knows the difference between Perth time and Melbourne time when your invoice is dated.
Where your data lives
Bilbee's application and database run with Railway, on servers outside Australia, and receipts are stored alongside them. Everything is encrypted in transit and at rest and isolated per account as described above. Bilbee is an Australian business, and we handle your data in line with the Australian Privacy Principles wherever the servers are. The privacy policy says the same thing in more words.
What we are and aren't
Bilbee is software. We're not a registered tax agent, we don't lodge anything for you, and we don't give tax advice. The estimate is an estimate from your own figures, with the working shown, and every page says so. That's a limitation we're comfortable with, because it keeps what's lodged in your name under your control.
Pricing
Free to start, and free to leave.
Free covers five invoices a month with the whole tax side uncapped, so there's no clock on trying it. Paid plans are $15 and $29 a month, and we'll give at least 30 days' notice by email before changing the price of a plan you're on. Export never stops working, on any plan, including after you cancel.

Does Bilbee ever move my money?
No. We can't. There's no account of yours we hold and no permission to pull from your bank. Card payments go through your Stripe, and the restricted key we ask for can create checkouts and read payments, never refund or pay out.
Can I get my data out if I stop paying?
Yes. A lapsed account is read-only: you can view and export everything. You just can't add to it until you resubscribe or drop to the free plan.
Who can see my books?
You. An accountant you've invited, read-only, until you revoke it. Nobody else, including other Bilbee users, which the database itself enforces.
Where is my data stored?
Bilbee runs on Railway, on servers outside Australia, and your receipts are stored with it. Email delivery and receipt reading also happen outside Australia. The privacy policy explains where your data goes and what each provider sees.
Can I delete a single thing, or only everything?
Both. Delete a draft invoice, an expense or a client from the app. A sent invoice is voided rather than deleted, because it's a business record you need to keep, and a client with documents can't be removed. Delete the whole account from your account page.
